OTM is a leading brand and communications agency based in the heart of London, working with prestigious clients such as ITV, RBS, BOC, Cartoon Network and Britax. Working with OTM since 2007, we have provided fully managed, outsourced IT services, supporting their growth through the management and maintenance of their complete technology infrastructure.

Infrastructure Upgrades

The Requirement.

As an agency with a strong design offer, OTM’s network needs to be able to cope with extremely large image and video files, so access and storage are always a priority.

The Solution.

 
Hybrid Cloud and On-premise

Due to their file requirements, we advised OTM not to use the cloud for their primary file storage but to rely on in-house hardware to maximise day-to-day efficiency. However, moving to Office 365’s cloud solution was also essential. Migrating their email accounts meant they had the power to access messages anywhere, anytime, providing a faster and more efficient service while keeping their hardware requirements to a minimum.

 
Infrastructure Upgrade

To further improve productivity, we recently upgraded OTM’s servers to modern, energy-efficient units that support virtualisation. This reduced their total number of servers from five to two and made it much easier to maintain separate systems without downtime.

By working closely with OTM’s management team, we also ensured that this new infrastructure has sufficient capacity to meet the company’s planned growth, reducing the likelihood of further capital expenditure in the medium term.

 
Backup and Disaster Recovery

Backup and disaster recovery are crucial for a business such as OTM, which stores client work and files on customers’ behalf. We implemented a secure cloud backup for disaster recovery, as well as local backup to allow quick rollbacks or retrieval of overwritten files in an emergency. This minimises costly downtime associated with errors such as deleting or overwriting important files.

To ensure storage costs are kept down, we worked with OTM’s account teams and their ProAd job management software to design a standardised file structure, complete with multi-level permissions, created automatically every time a new job is raised. This integrates with their business processes so all OTM employees know where each file is kept, eliminating duplication and version control issues.
Ultimately, OTM benefited from digital transformation services that allow them to work more effectively, with greater speed and efficiency.
